Enable Passcode-Protected Calendar Pages

You can now set a passcode for your team and individual Calendar Pages. This additional layer of security will require anyone with the link to enter the passcode before they can view your availability and schedule a meeting.

A passcode is unique to each Calendar Page and can be set within the Meeting Template Preferences, under the “Privacy” section.

Securely Put Your Business First

A passcode-protected Calendar Page provides an extra layer of security for the most sensitive types of meetings you do, like meetings with your boss or the board where you have expanded availability from 7 a.m. to 10 p.m.

Passcode-enabled Calendar Pages put a firm stop to the very rare cases of scheduling abuse, as you can change the passcode at any time.

It’s also an easy way to restrict access to certain tiers of clients. For example, you may have a Round Robin team calendar page of implementation specialists that is only available to customers who bought the premium support package.

For creators scheduling guests for podcasts, radio shows, and livestreams, a passcode ensures no one can book themselves with being explicitly invited.

For consultants and coaches who charge per meeting scheduled, a passcode-protected Calendar Page is an easy way to offer time at a discounted rate.

Simply create a new Meeting Template (or duplicate an existing one), set the reduced price and set a passcode.

Pro Tip: Collect payments directly from your x.ai Calendar Pages. Simply connect your Stripe account, then choose a currency and an amount. x.ai does not collect any additional fees.

Customize Event Visibility for Calendar Page Meetings

When x.ai sends event invitations, we use your default calendar visibility settings. When your calendar’s visibility is set to public, your coworkers can see the event details on your calendar. If you have your calendar’s visibility set to private, your coworkers can only see your busy/free information without any details.

You can set this up in your Meeting Template Preferences under the “Privacy” section.

Keep an “open” calendar with automated discretion for confidential conversations, like meetings with potential investors or mergers & acquisitions chats. Create custom, private Meeting Templates for personnel meetings or recruiting calls with senior hires.

If you typically keep a private calendar, you can still opt to set your sales and product demo calls to be public so your coworkers can easily see who you’re talking to.

Pro Tip: You can schedule a specific Meeting Template in an email or Slack. Add scheduler@x.ai and use the template’s “trigger” in the request: Book a /phone meeting. The Scheduling AI will automatically generate and send time options that match with your availability and the preferences for the specific Meeting Template.

Even More Ways to Protect Your Calendar

Passcode protection and custom event visibility are the latest additions to x.ai’s impressive roster of privacy-enhancing features.

Hide Pages on Your Calendar Homepage

Think of your Calendar Homepage as a menu of your meeting options. Share this link with someone and let them choose what type of meeting they want to schedule.

You can create private Calendar Pages that are hidden from your Calendar Homepage and can only be accessed with the direct link.

These private Calendar Pages could be things like a page per individual client, or even a page for calls on your cell phone that you don’t want out there.

Require Approval on Calendar Page Meetings

On each Meeting Template, you can turn on the setting to confirm meeting requests with you before sending the calendar invite.

This is a lightweight way to ensure you have the chance to review requests before they end up on your calendar. This also gives you an extra layer of control over when the meeting happens.

Don’t like the date and time selected? You can update the range of days and times and the Scheduling AI will send new times to your guest on your behalf.

Create One-Time Link Calendar Pages

For truly ephemeral meeting scheduling, you can create a One-Time Link for a meeting.

This generates a single-use calendar page that expires once your guest selects a time and the meeting is scheduled. Your guests can only see the times you’ve made available for this specific meeting, not your full availability.

Allow VIPs to Book Time Automatically

If someone emails you and the Scheduling AI to request a meeting, x.ai will always check with you first before taking action. You can bypass this step for the most important people you meet with by designating them as VIPs.

Add up to 10 very important people, like your boss, executive assistant, or even your spouse, and they’ll be pre-approved to schedule time with you via the Scheduling AI.
